What we collect and why

We are Fireclay Labs LLC, a small fractional data team based in St. Louis, Missouri, USA. We build and run data platforms, reports and apps for growing companies. Our services are for businesses and are not directed at children under 13.

Our website, www.fireclay.io, has no analytics, tracking, advertising or forms. It doesn’t set cookies.

Our web server logs each request. These logs contain your IP address, the date and time, the page requested, your browser’s user agent and the referring page. The page requested includes its address and any parameters in it. The booking software’s logs can also record your email address. We use logs only to run and secure the services, and we do not share them.

When you book a call at book.fireclay.io, you give us your name and email address. You can also add notes. The booking records your time zone and your browser’s language. We use these details to hold the call and send your confirmation email. We also use them to follow up about your request. We don’t send reminder emails.

The booking page sets one cookie to protect its forms against forgery. Your chosen theme and time format stay in your browser’s storage, along with your chosen calendar view. Your time zone is sent to the server in the page’s address.

The booking page uses self-hosted open-source software on servers we run at Civo. It’s not a third-party scheduling service.

Today, each booking is saved in the booking software’s database and on our own calendar. That calendar is on the mail and calendar server we run at Civo. Booking notifications go to our mailbox on that same server.

Today, video calls run on Jitsi Meet at meet.jit.si, which 8x8 runs. Joining a call sends your connection details to 8x8.

When you email us, we keep the correspondence to reply and to do the work discussed.

The client’s contract governs any data we process for that client under an engagement. This policy does not cover that data, and we use it only for that work.

Who receives it

  • Civo hosts the servers we run.
  • SMTP2GO delivers the booking page’s emails.
  • Proton hosts the mailbox at cody@fireclaylabs.com.
  • 8x8 runs Jitsi Meet at meet.jit.si.
  • Google receives data when our booking app is connected to Google Calendar, as described below.
  • Porkbun provides our domain names and DNS. It doesn’t receive visitor data from us.

We don’t sell your personal information or share it for advertising. We give it to no one else except where the law requires.

Google user data

Our booking app, “Fireclay Labs booking”, can be connected to Google Calendar on one account only: our own company Google account. You do not sign in with Google.

When our booking app is connected to Google Calendar, each booking becomes an event on our Google Calendar with your name, email address, the time and any notes you added. Each event gets a Google Meet link, so the call runs on Google Meet instead of Jitsi.

When connected, the app also reads the events on that Google calendar and keeps a copy in the booking app’s database on servers we run at Civo. It uses these events so it does not offer a time that is already taken. It stores its Google access token encrypted.

The app uses Google user data only for these purposes. We don’t use it for advertising or sell it. We don’t use it as training data. We don’t let anyone read it except to run the bookings or where the law requires.

Fireclay Labs booking’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How long we keep it

We keep booking details and email as long as needed for the conversation and any work that follows. We delete them on request.

Logs are overwritten as they rotate.

Your rights and choices

You can email cody@fireclaylabs.com to ask what we hold about you. You can also ask for a correction or ask us to delete it. Before we share or delete anything, we confirm that the request comes from the person it is about.

You can cancel or reschedule a booking using the link in your confirmation email.

Because our website does not track visitors, it has nothing to change in response to your browser’s Do Not Track signal.

How we protect it

Our site and booking page use HTTPS. Access to our systems requires sign-in by a Fireclay team member. We keep credentials in a password manager.

Where we store it

We run the servers ourselves, on machines we rent from Civo in its New York data center in the United States.

Our service providers may process data in other countries under their own privacy terms.

Changes to this policy

If this policy changes, we update it and the effective date at the top.
